Fleet licensing is a convenient vehicle licence option for individuals and organisations with 10 or more licensed vehicles.
What is fleet licensing?
Fleet licensing allows those with 10 or more vehicles (licensed in their name) to align all vehicle licences to a common expiry date. This makes managing renewals easier. Owners of vehicles licensed under the fleet licensing scheme will receive a Fleet Schedule before the nominated expiry date.
The fleet schedule lists:
- each of the owner's vehicles
- the total renewal payment due.
Individual renewal notices aren't issued.
For owners with 3 to 9 vehicles, a common expiry date can be requested, but no Fleet Schedule or bulk billing code is provided. Instead, individual renewal notices are sent as usual.
Request a fleet licensing account
To set up a fleet licensing account you must complete the relevant application forms, providing:
- a list of vehicles that you wish to licence with a common expiry date (Form E72)
- a nominated common expiry date
- if you're not a Western Australian (WA) resident (but administer WA Vehicles) you’ll need to register your business for an online DoTDirect account (Form E111B).
Note:
The date chosen is subject to Driver and Vehicle Services (DVS) approval.
Creating your fleet licensing account
Once Driver and Vehicle Services (DVS) receive your application, the Fleet Licensing team will verify the ownership and license status of the vehicles you listed. They will then create a unique fleet licensing code to identify your vehicles for future renewals.
Throughout the year, you can add newly acquired vehicles to your fleet schedule account.
DVS will:
- add all the vehicles from your application to a fleet schedule using your unique fleet licensing code
- if a vehicle's expiry date is within the 3 month renewal period, it will be adjusted to match the common expiry date, and an individual tax invoice will be generated
- if a vehicle's expiry date is outside the 3 month renewal period, it will not be changed until the renewal period begins. Individual renewal notices will be sent 42 days before the expiry date. When you receive a renewal notice, please contact Fleet Licensing at 1300 765 106. They will update the vehicle's expiry date to match the nominated expiry date and issue an individual tax invoice if needed.
After processing your application, DVS will send you a letter with your fleet licensing code, along with individual tax invoices for any vehicles that need to be adjusted to the common expiry date.
Note: If changing the previous expiry date to the new common expiry date results in additional license fees, a tax invoice will be generated. Once you pay this tax invoice, the vehicles will be added to your fleet licensing account.
